Professional email generator

This generator is aimed at the emails that carry consequences at work: the update your manager will forward, the client reply that sets expectations, the invoice you have to chase twice. Describe the situation in plain language and it returns a draft written for that reader.

The work emails it handles best

Status updates where bad news needs to travel clearly. Client replies that set or reset an expectation. Payment chasers that stay firm without hostility. Declining scope or a request while keeping the relationship. Escalations where the record has to be neutral and factual.

Writing guidance the draft follows

Bad news goes first, then the reason, then the plan. Burying a delay in paragraph three costs trust when the reader finds it. Facts stay separate from interpretation, which matters if the email is forwarded. Nothing is promised without a date, and nothing is dated without your agreement.

What to tell it about the reader

Whether they are internal or external, how much context they already have, and what decision you need from them. A client update with no history needs one line of background; the same update to your team does not, and including it reads as padding.

Subject: Revised Delivery Date for the Q3 Analysis, Wednesday 24 September

Dear Mr Osei,

I am writing to confirm a change to the delivery date for the Q3 analysis. The report will now reach you on Wednesday 24 September rather than this Friday.

The source data was received on 15 September, four working days later than scheduled, which shifted the validation stage. The revised date still leaves a clear week before your board meeting on 30 September.

If it would help, I can share the completed sections on Friday so your team can begin reviewing.

Thank you for your patience.

Best regards,
Lena Fischer

Subject: Second Reminder, Invoice 4471 Now 30 Days Overdue

Dear Ms Whitfield,

I am following up on invoice 4471, which is now thirty days past its due date. My first reminder was sent on 12 August, and I appreciate that approvals can take time.

Could you let me know where the invoice currently sits in your process, and whether anything further is needed from us to release it? I am happy to resend the invoice or provide a statement of account.

We value working with you and would like to keep this straightforward.

Best regards,
Lena Fischer

Frequently asked questions

How is this different from the formal email generator?
The formal generator focuses on register and structure for one-off official emails. This one is aimed at recurring work situations, where the harder part is sequencing bad news, scope, and dates rather than choosing a greeting.
Can it write an email that says no?
Yes. Describe what you are declining and why, and the draft declines clearly while leaving the relationship intact. It will not turn your no into a maybe.
Is the draft safe to send unedited?
Check names, dates, and figures against your own notes first, and confirm any commitment the draft makes on your behalf. After that, the wording is usually ready to send.
