Formal email generator

Give the generator the facts and it handles the shape: subject line, greeting, purpose sentence, details, the ask with a date, and a formal sign-off. It works from bullet points as readily as from a messy draft. The more specific your notes, the less editing the output needs.

What to include in your notes

Who the reader is and how senior they are, since that sets the greeting. What you want them to do. The deadline or date. One reason, if it helps them say yes. Any fixed detail that must appear verbatim: invoice numbers, names, amounts, times. Leave out the polite phrasing; that is the part the generator adds.

Notes in, email out

Notes like 'to HR, ask for employment letter for visa, need by 20 Sept, been here 3 years' contain everything required. The generator supplies the subject line, the greeting, the framing, and the closing. What it cannot supply is a fact you left out, so a missing deadline stays missing.

Where a generator helps most

Emails you send rarely and want to get right: resignations, leave requests, appeals, complaints, refund and warranty claims, introductions, letters to a landlord or an office. For routine internal email you already know the pattern, so a generator mostly saves keystrokes.

Always check three things before sending

That the names and figures match your notes exactly. That the deadline is the one you meant. That nothing has been promised on your behalf. Everything else is style and can be sent as generated.

Subject: Annual Leave Request, 6 to 10 October

Dear Ms Alvarez,

I would like to request annual leave from Monday 6 October to Friday 10 October.

All of my current deadlines fall before that week, and Priya has agreed to cover anything urgent in my absence. I will complete a written handover before I leave.

Please let me know if you would like any adjustment to these dates.

Thank you for considering my request.

Marcus Bell

Subject: Warranty Repair Request, Order 88214, Model X14

Dear Support Team,

I am writing to request a repair under warranty for an X14 laptop purchased on 3 March under order number 88214.

The screen begins to flicker after approximately twenty minutes of use, and the issue recurs consistently after restarting. The device is within its warranty period.

Could you advise on the next step for arranging the repair, and confirm whether I should ship the unit or bring it to a service centre?

Thank you for your assistance.

Best regards,
Marcus Bell

Frequently asked questions

Can it write an email from bullet points alone?
Yes. Bullet points are often better input than a draft, because nothing informal has to be unpicked first.
Will it invent details I did not give?
It should not, and it is built not to. Placeholders such as [Your Name] appear where a fact is missing, which is your cue to fill them in rather than send as is.
Does it produce Indonesian emails?
Yes. Write your notes in Bahasa Indonesia and the email comes back in Bahasa Indonesia with the expected sapaan and closing.
