1. Decide the single outcome you want from the message. 2. State that outcome in the first two lines. 3. Add only the context the reader needs to act. 4. Make the request or next step explicit. 5. Close briefly and politely.

Common mistakes

Burying the ask at the bottom, over-explaining the background, apologising more than once, and stacking hedges like 'just wondering if maybe'. Cut all four and the message reads more confident, not less polite.
