How to write a formal resignation email

A resignation email is a short, factual record, not a place to explain everything. It confirms that you are leaving, states your intended last working day, and offers a clean handover. This guide covers what the email has to accomplish, the wording for each part, complete examples for several situations, and the things that are better left out.

What the email has to accomplish

Three jobs, in order of importance. First, it creates an unambiguous record that you resigned and when. HR will file it, and months later the only thing that matters is that the statement and the date are clear. Second, it protects the relationship. Your manager may be a reference for years. A calm, gracious email costs nothing and keeps that door open. Third, it starts the handover on your terms, by naming what you will document and complete before you leave. Everything else, your reasons, your frustrations, your plans, is optional and usually better handled in conversation. Say it in person first if you can, then send the email the same day so the written record matches what you said.

What to include

A clear subject line with your name and the word resignation. A direct statement that you are resigning from your role. Your intended last working day, based on the notice period in your agreement. An offer to help with the handover. One line of genuine thanks. A formal sign-off with your name and role. That is the whole email. Your reason for leaving is optional, and a full explanation is never required in writing. Most resignation emails fit comfortably in 100 to 180 words.

How to state the resignation clearly

Use the word resign, in the present tense, in the first sentence. Anything softer creates ambiguity that someone will have to resolve later. Clear: "I am writing to formally resign from my role as Marketing Analyst at Nordlight." Clear: "Please accept this email as formal notice of my resignation from the position of Sales Operations Specialist." Unclear: "I have been thinking about my next step and wanted to let you know where my head is at." Unclear: "I think it might be time for me to move on." Include your exact role title and, if the organisation is large, your team or department. That is what makes the email usable as a record. One thing to avoid: do not write the email as a bargaining move. Once it is in writing, it is normally treated as a decision, not an opening position.

Notice period and last working day wording

State one specific date rather than a duration, so there is no ambiguity: "My last working day will be 15 September" is clearer than "I am giving one month's notice". Work out that date from the notice terms in your own employment agreement, and confirm it with your manager or HR if the wording is unclear. Notice requirements differ by employer and by country, so treat your contract and your HR team as the authority rather than any general guide. Useful phrasings: "My last working day will be 15 September, in line with my notice period." "In accordance with my contract, I am providing one month's notice, with 15 September as my final day." "I am happy to discuss the exact date if a different handover timeline works better for the team." If you are hoping to leave earlier than your notice allows, ask rather than announce: "If it would be possible to finish on 8 September, I would be grateful, though I will work the full notice if that is what the team needs."

How much to explain

You do not owe a reason in writing, and adding one rarely helps you. No reason at all is completely normal and reads as professional, not evasive. One neutral line is the most you need if you want to say something: "I have accepted a role that moves me closer to product work" or "I am leaving to pursue further study". What does not belong: dissatisfaction with pay, management, or colleagues; comparisons with your new employer; anything you would not want read aloud in a meeting. If you want those points on record, an exit interview or a separate conversation is the appropriate channel, and you can be candid there without it sitting in your personnel file next to your notice date.

Gratitude that does not sound artificial

One specific sentence beats three general ones. Specificity is what makes it read as true. Generic: "Thank you for everything, it has been an amazing journey." Specific: "Thank you for putting me on the rebrand project last year, it changed how I approach client work." If the experience was genuinely difficult, stay factual and brief rather than inventing warmth: "I appreciate the opportunity to have worked on the reporting team." That is honest, complete, and no one will read anything into it. Thank the person you are writing to, not the company in the abstract. "Thank you for your support during the transition last spring" lands; "Thank you to the whole organisation for the memories" does not.

Handover and transition wording

Naming the handover in the email does two things: it shows you are leaving responsibly, and it sets the scope before someone else sets it for you. "Before my last day I will document the campaign reporting process, close out the Q3 dashboard work, and brief Priya on the client reviews." "I will prepare a handover document covering my accounts, open renewals, and the recurring reports I own." "I am glad to help train whoever takes over, and to stay reachable for questions during the first week after I leave, if that is useful." Be realistic. Do not offer to be available indefinitely, and do not commit to finishing a project that clearly will not fit in your notice period. "I will make sure the migration is documented to the point where the next person can continue it" is more useful than promising to complete it.

How to close the email

The closing line should do one job: signal that you are handling the exit cooperatively. Skip anything that reopens the decision. "I am happy to discuss the timing and handover whenever suits you." "Please let me know what you need from me to make the transition straightforward." Then a neutral sign-off: "Kind regards" or "Best regards", your full name, and your role. Avoid "Thanks in advance", which reads as if you are requesting a favour, and avoid "Regretfully yours" or similar phrasing that overstates the emotion. If your company files resignations formally, add your employee ID or team under your name so it can be routed without a follow-up question.

What NOT to include

Complaints about people, pay, or management. Raise those separately, in person or through the proper channel. A detailed account of why you are leaving. One neutral line is enough, and even that is optional. Your new employer's name or salary, unless you want to share it. Conditions or ultimatums. Sarcasm or jokes. This email is often kept on file for years. A last working day you have not checked against your agreement. A farewell to the whole company. That is a separate message, usually sent in your final week.

Common mistakes

Emailing HR or skipping your manager, when your manager should normally hear it first. Burying the resignation in the third paragraph, so the reader is halfway through before they understand the point. Giving a duration instead of a date. Writing it while angry and sending it the same hour. Draft it, wait a night, reread it once. Promising a handover you cannot deliver in the time available. Sending it from a personal account with no role or team named, which makes it slower to file. Forgetting to keep a copy for yourself.
