Chat is not a short email

Skip the subject line and the multi-paragraph build-up. What you keep is the greeting, the reason you are writing, the ask, and the thanks. What you drop is 'I hope this message finds you well', which reads oddly in a chat window. One message, one ask, so the reply can be one line.

Who you are writing to changes the message

Manager: lead with the ask and the impact, keep it to three lines. Client: confirm what was agreed, then the ask, then a deadline you can meet. Lecturer or supervisor: identify yourself with your course or student number, since they message many people. Customer: apologise once, state the fix, give the timing. In Bahasa Indonesia, open with 'Selamat pagi Bapak/Ibu' and use 'mohon' rather than 'tolong' for anything senior or external.

Concise and respectful at the same time

Politeness lives in the verb, not in extra sentences. 'Could you' and 'would it be possible' cost three words. Give a reason in a single clause instead of a paragraph. Ask once, then wait: repeating an ask two hours later reads as pressure, and following up the next working day does not.

Frequently asked questions

Should a chat message start with 'Dear'?
Usually not. 'Good morning, Ms Rivera' or 'Hello Ms Rivera' fits a chat window. 'Dear' belongs to email and letters, though it is acceptable for a first message to someone very senior.
Is it rude to split a message into several bubbles?
In professional chat, yes, it tends to be. One message the reader can answer in one go is easier to act on and easier to find later.
Can I use emoji in a formal chat message?
With an external client, lecturer, or someone senior you have not met, leave them out. Inside a familiar team where the norm already includes them, a single acknowledging emoji is fine.
