The standard format

1. Subject line — one short phrase naming the topic. 2. Salutation — Dear [Name] or Hi [Name]. 3. Purpose — one sentence on why you are writing. 4. Body — the detail, in short paragraphs. 5. Next step — what you need and by when. 6. Sign-off — Best regards, plus your name.

How to adapt the template

Keep the section order, swap the wording. Formal contexts get fuller sentences and a Dear salutation; internal threads can drop straight to the purpose line.
